1. Introduction
Welcome to the Great Glen Dance Academy ("the Academy"). These terms and conditions are in place to protect the Great Glen Dance Academy and you. They ensure everyone involved knows their rights and responsibilities. That means our responsibilities to you and your responsibilities to us. They govern the relationship between the Academy, its instructors, students, and their parents or guardians. The language used should make it as clear as possible to understand. By enrolling in our classes, you agree to these Terms and Conditions, please read them carefully.
Great Glen Dance Academy reserves the right to refuse entry to classes if these rules are not complied with. Academy policies are reviewed and updated on a regular basis, parents and pupils are advised to read this document thoroughly to ensure clear understanding. Please contact if you require further information.
2. Enrollment and Fees
2.1 Enrollment Process
- Enrollment is open to children aged 4+ and must be completed by a parent or legal guardian via class for kids booking system to secure a space in the class. All registrations and payments are set up through visiting our website, which contains a link to this system labelled “Class For Kids” on our home page. Alternatively, you can find the class for kids link on our Linktree which is an additional method of accessing our class for kids system, this can be found on the home page of each of the academy’s social media platforms; Facebook, Instagram, Tiktok.
2.2 Fees and Payment
- Fees are payable monthly by subscription only, on the first of each month. This is the only payment method the Great Glen Dance Academy will accept. We are no longer able to accept bank transfers, cash, cheques, monthly BACS payments or fast track payment fees. The subscription system is set up to ensure everyone pays on time avoiding late fees, preventing any upset within the academy and you.
- Prices are based on 42 weeks worth of classes.
- Our fees are prorated, this means the total cost of the classes is split over a 12 months and are inclusive of VAT.
- There is an annual membership fee of £40 that covers the cost of setting up each student on to our system each year and contributes towards mandatory insurances and licensing within the academy. This works out at just £3.33 per month, per student but goes a long way in supporting the background running of the academy outside of tuition, that is not seen in weekly lessons or on social media.
- Fees are non-refundable.
- A late payment fee of £12 will be charged if fees are not paid on time, by the due date (1st of each month). This will appear on the following month’s fees.
- The Academy reserves the right to suspend a student’s attendance if fees remain unpaid for more than 7 calendar days, not working days.
- The Academy reserves the right to make changes to these amounts and/or collection date if necessary. In the event of this occurring we will notify you via email prior to any changes taking place.
3. Cancellation and Refunds
3.1 Cancellation by the Academy
- The Academy reserves the right to cancel classes due to unforeseen circumstances, including but not limited to instructor illness or adverse weather conditions.
- In such cases fees are non-refundable.
- Any classes that fall under 5 students for 4 weeks or more are subject to being cancelled.
3.2 Cancellation by the Parent/Guardian
- Should you or your child wish to cancel one of their classes, we require one month's written notice via email (greatglendanceacademy@gmail.com). Along with one final full fee payment.
- All unattended lessons are still payable. No refunds will be given for classes missed due to illness, holidays, or other personal reasons. Substitute lessons can be arranged where a class space permits.
4. Attendance and Punctuality - Class and Performances
Great Glen Dance Academy aims to provide the very best of dance training. Our academy is based on the principles of nurture, dream, inspire and lead.
Our mission is to provide a specialist arts institution, committed to providing an environment where creative, individual talents are nurtured, through the pursuit of science in dance and the performing arts. To ensure enhanced academic learning experience through personal development in class, to attain the highest possible standards; where creative thinking thrives and our students flourish.
4.1 Class Attendance
- Regular attendance is crucial for children to progress. Parents/guardians are encouraged to ensure their child attends all scheduled classes.
- If a child is unable to attend a class, please inform the Academy as soon as possible.
4.2 Punctuality
- Students should arrive on time for their classes. Late arrivals disrupt important teaching time. - - Should a child be so late they miss the warm up, they will not be able to participate in class due to risk of injury from cold muscles.
- It is the parents responsibility to ensure their child is on time for class.
4.3 Holidays and Term Breaks
- The Academy is in operation 42 weeks of the year. Academy holidays are as follows:
- Spring Break (April) - 1st week
- Summer Break - 6 weeks
- Autumn Break (October) - 1st week
- Winter Break - 2 weeks at Christmas and New Year.
4.4 Performances
- All show money is non-refundable
- Our annual summer performance will be recorded professionally.
- Personal cameras and recording equipment are not permitted.
5. Code of Conduct
5.1 Student Behaviour
- Students are expected to behave respectfully toward instructors, staff, and fellow students.
- Bullying, aggressive/disruptive behaviour, or any form of misconduct will not be tolerated. The Academy reserves the right to suspend or expel a student for such behaviour. The academy will give 2 verbal warnings before speaking to parents/guardians regarding the matter. If such behaviour continues, a period of suspension will be issued. If after
a period of suspension, such behaviour continues, the academy will have no choice but to issue an expulsion notice, effective immediately.
5.2 Parent/Guardian Behaviour
- Parents/guardians are also expected to behave respectfully toward instructors, staff, and other parents/guardians. The Academy has a zero-tolerance policy for abusive or aggressive behaviour toward its staff or other students.
5.3 Mobile Phones
-Any student found using a mobile phone will have the mobile phone confiscated and returned at the end of the lesson. Mobile phones are not permitted in class, unless being used for educational purposes.
6. Health and Safety
6.1 Medical Information
- It is the responsibility of the parent/guardian to inform the Academy of any medical conditions, allergies, or injuries that may affect the child’s participation in class.
- A medical form must be completed at the time of enrollment and updated as necessary.
6.2 Injury and Illness
- The Academy takes all reasonable care to ensure the safety of its students. However, parents/guardians agree that the Academy can not and will not be held responsible for injuries sustained during classes. Teachers will ensure students are learning and progressing in a safe manner.
- Students who are ill or contagious should not attend class. The Academy reserves the right to send a child home if they are deemed too unwell to participate.
6.3 Emergency Procedures
- In the event of an emergency, the Academy will contact the parent/guardian using the contact details provided. It is the responsibility of the parent/guardian to ensure these details are up-to-date.
- In cases where urgent medical attention is required, and the parent/guardian cannot be reached, the Academy reserves the right to seek appropriate medical care.
6.4 Mandatory child drop off and collection
Child safety is of the utmost importance to the Academy. No child will be allowed to leave the building without a parent/guardian (unless otherwise arranged).
7. Uniform and Dress Code
7.1 Uniform Requirements
- Children are required to wear uniform when attending GGDA. Leotards, tights and footwear can be found in online retailers or in local dancewear shops.
- GGDA merchandise will be available to order online. There is a range of uniformed merchandise from ages 3-13, S, M, L.
- Hair should be tied back neatly in a ponytail, bun or french braid/s.
- Any students wishing to participate in performances will be required to purchase/hire costumes, tickets etc.
7.2 Personal Belongings
- The Academy is not responsible for any lost or damaged personal belongings. Students are encouraged to leave valuable items at home. We advise that your child does not bring any valuables to class (i.e., mobile phones, jewellery etc.) GGDA does not accept any responsibility or liability for lost or damaged items/belongings.
8. Photography and Videography
8.1 Consent
- The Academy will take photographs and videos of classes for promotional purposes (e.g., on the Academy’s website or social media).
- Parents/guardians must provide consent for their child to be photographed or filmed.
- Consent opt in/opt out will be provided at the time of enrollment via Class for Kids.
8.2 Opting Out
- Parents/guardians who do not wish for their child to be photographed or filmed must opt out of the photography and videography consent at point of enrollment on Class for Kids.
9. Data Protection
9.1 Personal Data
- The Academy collects and processes personal data in accordance with the General Data Protection Regulation (GDPR).
- Data collected includes student and parent/guardian contact details, medical information, and payment details. This information is used solely for the administration of the Academy.
9.2 Data Security
- The Academy takes appropriate measures to protect personal data from unauthorized access, loss, or destruction. It will not be shared with third parties without the explicit consent of the parent/guardian, except where required by law.
10. Limitation of Liability
10.1 Exclusion of Liability
- The Academy is not liable for any personal injury, property damage, or loss sustained by students or parents/guardians on the Academy premises.
10.2 Force Majeure (superior forces)
- The Academy will not be liable for any failure to perform its obligations under these Terms and Conditions due to events beyond its reasonable control (e.g., natural disasters/pandemics etc.).
11. Changes to Terms and Conditions
- The Academy reserves the right to amend these Terms and Conditions at any time. Parents/guardians will be notified of any significant changes via written notice via email.
- Continued enrollment in the Academy’s classes after such notification constitutes acceptance of the revised Terms and Conditions.
